As administrative assistant, you will work closely with the studio director and the office manager and will assist the team in several tasks. The position is a part-time position.

Administrative assistant

Responsibilities

  • Provides administrative support to ensure efficient operation of the office.
  • Supporting bookkeeping services (bank reconciliation, create invoices, expense reports, operation costs, pay invoices, mail cheques, ...)
  • Aiding correspondence for the office, such as emails, letters, packages, and phone calls
  • Be the point of contact for third parties (building management agency, insurances, cleaning services, shipping, ...)
  • Ensure compliance with health and safety (updating internal documents, drafting new protocols, management of first aid kits inventories, organization of first responder training for employees etc.)
  • Arrange maintenance and repairs when needed 
  • Assist with travel arrangements
  • Assist with event planning

Requirements

  • 1-3 years of relevant experience. 
  • Excellent organizational skills and attention to detail.
  • Excellent oral and written communication skills in English and French. 
  • Resourcefulness and problem-solving skills. 
  • Ability to multitask in a fast-paced environment.
  • Assertiveness, interpersonal skills, autonomy, discretion, proactivity.
  • Knowledge and experience working with Microsoft Office suite, Google Docs; proficiency with technologies. 
  • Must be flexible and adaptable.
